EXCHANGE PROCEDURE
 
 
Before the Exchange
  1. Student Application Form
  2. Scanned Headshot Photo (please send it as an e-mail at least 3 weeks before coming to YTU)
  3. Student Information Form
  4. Learning Protocol (3 original forms)

Incoming students fill out Learning Protocol according to the courses available in their departments at YTU. Please refer here. If you are unable to reach courses, please contact your departmental coordinator at YTU. Your departmental coordinator is mentioned in incoming student list and/or here.

It is signed and confirmed by the home university first, and then is sent to the host university (YTU) Mevlana Exchange Programme Office by the international relations department of your home university for necessary signatures via e-mail.

It is signed and confirmed by YTU, and is sent back to your home university.

Please bring 3 original copies of your Learning Protocol with you.

  1. Letter of Acceptance: After your Learning Protocol is confirmed by YTU, Letter of Acceptance will be sent to the international relations office of your home university.
  1. Student Visa: You are expected to receive Student Visa. It is necessary for Residence Permit. Please contact the Turkish Consulate in your home country for student visa and fulfil your responsibilities before coming to Turkey.Otherwise, you may encounter some problems during your stay here.

During the Exchange

  1. 2 Photos
  1. Student Scholarship Agreement is signed for scholarship to be transferred.
  1. Student Declaration Form is picked up from the MEP Office.
  1. Ziraat Bank Account: Scholarship will be transferred to your Ziraat Bank account.
  1. Tax Number: In order for you to open a bank account in Ziraat Bank, you need to apply for Tax Number to Tax Office in İstanbul with your passport.
  1. İş Bank Account: You will open a bank account in İş Bankası, it will help you use shuttle within campus / between 2 campuses (Davutpaşa and Yıldız) and use the dining hall.
  1. Confirmation of Arrival: YTU does not provide a confirmation of Arrival form. If your home university has such a form to be filled out by YTU, please bring it to the Mevlana Exchange Programme Office. The date to be mentioned as your arrival date will be the day on which the document is signed.
  1. Student ID Card: You can visit Mevlana Exchange Programme Office to pick it up.
  1. Student Transportation Card: In order for İstanbul Public Transportation Institution (IETT) to issue your Student Transportation Card, they will as you about your YÖKSİS Number (ID number given to students studying in higher education institutions in Turkey) along with the documents listed below:
  1. Student Certificate (to be handed out at the orientation programme)
  1. Passport Copy
  1. Card Fee (10 TL)
  1. Photo (Headshot)

After you collect all documents, please go to any application center with your ESN Buddy to submit your application

  1. Changes in the Learning Protocol: 
    Changes on the Original Learning Protocol should include the changes (add- drop) that you have made on the previously listed subjects.
    Fill out the 2nd Page of your Learning Protocol, and send the document to your home university, have it signed and stamped.
    After you receive signed and stamped document from your home university, have it signed by the departmental Mevlana Exchange Programme Coordinator at YTU.
    Following the signature of your departmental coordinator, submit it to Mevlana Exchange Programme Office.
    Following the signature of Mevlana Exchange Programme Office, you can pick your document and submit one copy to your home university, and one copy to your departmental coordinator at YTU.
    Please bear in mind that any section of the Learning Protocol is first signed by the departmental and institutional coordinator of your home university.
    Duly-signed Learning Protocol Changes documents should be submitted to YTU Mevlana Exchange Programme Office no longer than 30 days after the academic term starts.

     
  2. Turkish Language Course (Course Code: ERA0001) If there is sufficient number of students willing to take, Turkish Language Course will be organized for incoming Mevlana Students;
    for free
    in exchange of 6 ECTS
    at different levels: Beginner, Pre-intermediate, Advanced.detailed programme about Turkish Language Course will be announced upon the start of the semester.
  1. Health Insurance: One of the following insurances is accepted:
  1. Document confirming that you can benefit from the medical services in Turkey based on a Bilateral Agreement signed between the two countries concerning the Social Security. Private Health Insurance.
     
  2. Document issued by the relevant institutions confirming that the medical expenses which will occur during the exchange period will be met by that institution.

  1. ESN-YILDIZ (Erasmus Student Network): It is the official student club of the university which is authorized to help out the incoming Mevlana Exchange Programme Students in terms of accommodation, transportation, social facilities and the life in İstanbul, Turkey. At the End of Exchange

  3. Confirmation of Departure: YTU does not provide a Confirmation of Arrival Form. If your university has such a form to be filled out by YTU, please bring it to the Mevlana Office as close as possible to your departure date, since the date of your departure will be the day that the document is signed.
    If you need the confirmation of departure form after your departure, you will be asked to send the scanned copy of the passport page showing your exit stamp.
  4. It is advised you to pick up your final documents before your departure since you may need the original documents later.
